HR Administrator

Salary: £22,500 per annum pro rata
Contract Type: Part Time, 25 hours per week, permanent contract of employment (Monday to Friday)
In this role you will provide generalist support throughout the employee lifecycle. We are looking for someone who is pro-active, with a professional and flexible approach. You will enjoy a varied role with the ability to manage a busy workload, prioritise and problem solve.

We are looking to appoint a generalist HR administrator with strong administrative and customer service skills. We are looking for a pro-active individual with a can-do attitude who enjoys working with minimal supervision. You will have a keen eye for detail and accuracy.

  • A self-starter with a confident and friendly manner to liaise with people at all levels of the organisation as well as external organisations.
  • Working knowledge of MS Office including Teams.
  • Strong attention to detail, with the ability to maintain a high degree of confidentiality at all times.
  • Ability to use your own initiative and deal with conflicting priorities.
  • Previous recruitment administration and HR experience would be desirable, along with experience in using HR systems.
  • Experience in working with minimal supervision, prioritising and working under pressure to meet fixed deadlines.

What you’ll do…
  • Recruitment:
  • Set up recruitment Teams channels for each vacancy
  • Ensure Line/ Hiring managers follow the recruitment authorisation process prior to the release of any advertisement
  • Work with Line/ Hiring managers in the creation and posting of job advertisements and the formulation of job descriptions.
  • Advertise vacancies via various advertising platforms and liaise with Marketing for company website and social media uploads
  • Work with the Line/ Hiring manager to coordinate interviews
  • Full management of the careers inbox
  • Ensure the recruitment trackers are fully updated at all times
  • Decline any unsuccessful candidates
  • Provide support on all recruitment events
  • Managing new employee on boarding processes:
  • Ensure Line/ Hiring manager completes an appointment form in advance of any offer of employment.
  • Send out employment references if applicable and ensure they are returned in a timely manner.
  • Ensure new starter documentation is returned and required pre-employment compliance is completed including Right to Work checks, signed contract of employment and staff handbook is reviewed.
  • Enter new starters onto the HR system.
  • Ensure records are kept in accordance with Data Protection Legislation (GDPR).
  • Ensure new starter checklist is fully completed and added to file.
  • Onboarding Process
  • Maintaining the HR System to ensure it is up to date with all employee data at all times
  • Updating organisation charts for all departments
  • Processing leaver documentation following up on exit interviews, responding to reference requests, processing changes to terms and conditions
  • Responsible for monitoring probationary periods, produce letters to confirm completion and/or extensions and reviews when required
  • Provide administrative support on an ad hoc
  • Raising HR purchase orders when required
  • Creating data insights for the business i.e. absence, emergency contacts, first aiders
  • Arranging workshops/meetings/Employee forums
  • Supporting the driving for work annual process.
  • Overall responsibility for preparing the weekly communication newsletter for HR.
  • General HR administrative duties as required including filing and scanning of various documents, generating and sending out eye care vouchers for VDU users if required and coordinating the current annual flu vaccination process for staff.
  • Training
  • Booking training courses
  • Updating training records including the HR system
  • Reviewing future course requirements.
  • Booking rooms and ensuring refreshments are available.
  • Sending out instructions as required.
  • General Activities
  • Maintain the HR system to ensure it is fully updated with any changes including change of contract, leavers and new starters.
  • Produce various letters as required including change of contract, leaver, sickness absence, contracts.
  • Produce HR reports as required including absences, retention levels, first aiders.
  • Responsible for the driving for work checks
  • Update organisational charts.
  • Process leaver documentation including conducting exit interviews. Ensure leaver checklist is completed and added to file.
  • Reply to any external employment references.
  • Responsible for monitoring probationary reviews and appraisals.

  • You will have strong administration background with excellent customer service at the forefront of everything you do. We are looking for a proactive individual with a can-do attitude who is tenacious and enjoys working with minimal supervision. You will have a keen eye for detail and accuracy and not be afraid to contribute your own suggestions and ideas for business improvement.
    • Previous experience in a previous HR, Recruitment or Training administration would be beneficial.
    • Experience of working with minimal supervision.
    • Experience in using HR systems would be beneficial, but not essential as training will be provided.
    • Excellent communication and interpersonal skills
    • Working knowledge of Microsoft Office and Teams
    • Strong administrative skills
    • Organisational skills with the ability to prioritise own workload.
    • Ability to work on your own initiative and as part of a team.
